Pathways students

In the accommodation portal, simply select your start date and choose your room from the available options. In order to book your room, you’ll first need to accept your offer to study. If you indicated on your application form that you are interested in Kaplan-arranged accommodation, you should be able to access the Kaplan Living accommodation portal through your Kaplan Student Account. If you have any problems accessing the portal, please email pathways.accommodation@kaplan.com.

You can use our live availability checker to see all of the rooms matching your course length and start date, all in one place.

Please note that all room bookings are subject to availability and final acceptance by Central Accommodation team. Although our website may show a room as available, you must apply for your room through our accommodation portal; the room will not be assigned to you until this has been done.

All Pathways students are required to provide guarantor. This is usually a parent or guardian over the age of 18. They do not need to be based in the UK. A guarantor is liable for addressing any tenancy breaches, including non-payment of rent, if a Pathways student fails to fulfil their responsibilities.

If you’re a Pathways student, you’ll pay a £1,000 advance rent payment as part of the booking process. All further payments can be made on our online payment portal, which is available through the Kaplan Student Account. If you’re staying at one of our Glasgow residences, you will make your first payment when you arrive at the college to enrol.

We offer free airport transfers on the main arrival weekend, or if you would like to arrive at a different time, we can arrange a private transfer for you. You can let us know your preferences before you travel by filling out the pre-arrival form that we’ll send you when you book.

We can accommodate group bookings large or small — just contact us outlining your requirements and we’ll work on your customised package. Learn more on our Group Bookings page.

Yes. Simply give us the names of your friends when you book and we’ll allocate your rooms together if we can. You will need to all book the same room type and contract length. Read more here.

Yes, we have several residences which accept students under 18. In fact, you’ll even benefit from Kaplan Living Special Support, an enhanced wellbeing and support package.

Pathways students must have a guarantor. If you are not a Pathways student, you will need a suitable guarantor if you choose to pay your rent in instalments. Your guarantor must be a UK resident who is not a student, and can confirm that they have the ability to pay your rent in the event that you are unable to. If you do not have a UK guarantor, we recommend Welcome to Rent Guarantor, who can act as your guarantor for a fee. Students who pay their rent in full do not require a guarantor.

You’ll pay a £250 advance rent payment as part of the booking process, or £1,000 if you’re a Pathways student. All further payments can be made via your Kaplan Student Account if you are Pathways student, or by Flywire, accessed via the Kaplan Living accommodation portal for all other students.

If you wish to make any changes to your booking, please contact our Central Accommodation Team. We will always make every effort to accommodate your wishes but all changes are subject to room availability and our booking terms and conditions.

When you have accepted your study offer, you can apply for accommodation directly through the University during their application period.

Moving in and moving out

As well as your belongings, you will need to bring a form of photo ID, such as a passport, to confirm your identity so we can issue your room key.

In order to check in, you must complete all stages of the booking process, including providing identity documents and making any required rent payments. We will then contact you to make arrangements for check-in and let you know any relevant travel information. This will help to ensure you have the best possible experience upon moving in.

You can move in any time from the first day of your accommodation agreement. If you need to move in early, please contact our Central Accommodation Team and they will be able to advise if this is possible. There will be an additional weekly charge for any early check-ins.

We provide all students with an inventory to complete and return to the residence team when you move in. This is used to inform the team of the condition of your room and of any issues you wish to report. When you move out, it will also be used to determine if any damage has been caused that you may be held liable for.

Yes, please keep us informed if your plans change. You can find contact details for each residence on the residence page.

Room change requests after moving in may be possible but are dependant on availability and subject to our terms and conditions. Please contact the Central Accommodation Team to discuss any changes.

Yes, extensions are possible but dependant on room availability. You may be asked to move to another room if you wish to extend. Please contact the Central Accommodation Team to discuss your requirements.

Prior to moving out you may be asked to arrange an end-of-tenancy room inspection with the residence team. On the day of your departure, please remove all your belongings from your bedroom and the communal kitchen and place any waste in the bins provided. Once your room is clear and clean, please hand your key in at reception to sign out.

Residence life

When you complete the booking process you’ll receive an email containing a handy Welcome Handbook with lots of information about your new home.

Most of our residences have keyless entry systems operated via your mobile phone. If you for any reason you require a physical access fob, you may be charged for a replacement if you lose it.

Most of our residences have 24-hour reception teams. The reception may be unattended occasionally during the night if the team member on duty is elsewhere in the building.

Yes, free, high-speed internet is included in your contract.

You can enjoy a wired* connection of up to 100 Mb/s, provided by Ask4. Internet access is available throughout the building, and you may register up to 10 separate devices. Please note: you’ll need to bring your own ethernet cable in order to use the wired connections. Wifi is available throughout all Kaplan Living residences.

You can also add extra services to your Ask4 account for an additional fee. For a one-off payment of £15, you can register an additional 4 devices (up to a total of 14). If you wish to back-up your work on the cloud, you can purchase unlimited storage, also for a one-off payment of £15.

*Wired internet connection not currently available at Kaplan Living Glasgow – Argyle Street; Wifi is provided throughout the building instead with an average attainable speed of 92Mb/s.

Residents are welcome to bring a television set, but you will be responsible for buying your own TV licence as the residence does not provide this.

We know that accidents happen, so Kaplan Living has you covered. We’re not just talking about your laptop and phone, but items such as your clothes, hairdryers, and other gadgets, like Fitbits, and smart watches can all add up. The great news is, through our insurance partner, Howden, we provide contents insurance for all the students who live with us, so your belongings are covered while they’re in your accommodation.

Our Contents policy can be viewed here. You can download the Howden app to check your level of cover, and can submit a claim using the claim form.

In most cases this will be possible, but please check with your residence reception team to find out the process.

Yes! All residents have access to comfortable social lounges where you can relax with your new friends. We also run social events and activities all year round — you can find out more on our student life page.

Maintenance issues can be reported by logging into your booking portal and selecting the maintenance tab.

Most residences do allow occasional guests to stay overnight, but for safety reasons, guests will typically need to be 18 or over and to sign in at reception. You will be personally responsible for the conduct of any visitors you are permitted to have stay while they are on site.

Service and payments

No, we do not ask for a damage deposit. Instead, we will inspect your room every term and charge you directly if we find any damages. However, at the time of booking, you’ll need to make an initial payment towards your first month’s rent to secure your room.

Kaplan Pathways students can pay their rent through their Kaplan Student Account, where they can access our online payment portal. All other students can pay via Flywire, which is available via the Kaplan Living accommodation portal.

If you’re a Kaplan Pathways student, you’ll need to pay £1,000 to secure your room at the time of booking. Your following payments are then shown at the time of booking and will depend on your course length. A guarantor is also required, regardless of how you choose to pay.

For all other students — yes, you are welcome to pay by instalments. If you choose this option, you’ll need a UK guarantor. If you do not have one, we recommend Welcome to Rent Guarantor, who can act as your guarantor for a fee.

If you are unable to pay your rent in time due to delays with your student loan or any other reason, please contact us as soon as possible for guidance.

At most residences, you’ll be able to add a regular room cleaning to your booking as an optional extra.

Yes, all residents will have access to a laundry room where you can wash your clothes for a fee.

Support

The Student Assistance Programme is confidential support and advice line that is free to all residences. You can call them at any time to discuss any problems you may be having, or take advantage of the many wellbeing resources available for free on their app. You can find more details on our support page.

There are many ways you can access wellbeing support at our residences. You can call the free Student Assistance Programme advice line, or, if you’d prefer to speak to someone in person, there will always be a friendly face on the residence reception team for you to talk to. Finally, we also offer a premium support service, Kaplan Living Special Support in many of our residences. You can learn more on our student support page.

Unfortunately, you cannot bring pets, however we have an additional policy regarding assistance and therapy animals, which can be viewed by clicking here.

All of our residences have accessible rooms available. Please just let us know your requirements when you apply. If you have a disability or medical condition that requires our support, please contact us so we can discuss your needs.

You can rest assured our residences are following all appropriate safety guidelines, such as sanitising stations and frequent cleaning of communal areas.

If you feel unwell, you should speak to a member of the residence team who can offer guidance and help you to make a doctor’s appointment if necessary.

International Students

If your visa application is unsuccessful, please send a copy of your visa refusal documents (or other evidence) to your Admissions Adviser for review. A decision will then be made regarding eligibility for refund in line with the company’s terms and conditions.

The UK currently does not require new arrivals to self-isolate, but please check the government website before you travel for the most up-to-date advice.

If you are a Pathways student, your first instalment of rent and all further payments can be paid online using our on online payment portal, accessed via your Kaplan Student Account. All other students can use the Flywire payment portal. You do not need a UK bank account to use the online portal or Flywire, but we advise you set one up when you arrive in the UK — your residence team can help you with this.

We advise that you bring suitable clothing: the average temperature in the UK is around 20 degrees celsius in summer and between -3 and 10 degrees in winter. You’ll also need a laptop, electrical adaptor, UK currency and any medicine you take. You will also need to bring a number of documents with you for enrolment and entry to the UK — you can find the list in the pre-arrival guide we’ll send you.
